What is required to setup the use of flexibility accommodations?

Step 1: A student will request the accommodation and faculty will be notified via the Faculty Accommodation Memo (FAM) which can be found in the AIM Faculty portal and is also emailed.   

Step 2: The Instructor must initiate a Flex Plan Agreement in the AIM portal for the student's requested course(s) - this may take up to 24 hours to appear for the instructor once requested by the student. Faculty should complete this before the Add/Drop Date for the Course otherwise the Default will be used (see below).

  • Questions have been formulated to assist faculty in determining reasonable flexibility within the course and setting boundaries for flexibility accommodations. 

Step 3: EAS will review the Flex Plan Agreement submitted by the instructor to facilitate reasonable flexibility in the course. The student will have the opportunity to review the proposed Flex Plan Agreement. The student has two options:

  1. Accept Flex Plan Agreement as is
  2. REQUEST a modification to the agreement by making a change to the agreement

Step 4a: The Flex Plan Agreement is complete and the student can utilize this accommodation. The student is expected to follow the agreement, communicate with faculty and EAS when using a DRA, and agrees to the natural course consequences if the agreement is broken. Faculty will receive an email once the Flex Plan Agreement is complete. 

Step 4b: EAS will review the student's requested modification to the Flex Plan Agreement before submitting to the instructor for review, if necessary. EAS may opt to deny the student request as unreasonable or may require the faculty to approve or deny the student's requested change to the Flex Plan Agreement. 

Step 5 (following 4b): Faculty will be notified via email if a second review is required. Faculty can see the change history to see student's requested modification. Faculty can then accept the request or revert the agreement back to the original proposal. Students will then be allowed to see the final Flex Plan Agreement before accepting the terms at which point the faculty will be notified the Flex Plan agreement is complete.
